Equipment Hire Terms & Conditions

These Terms and Conditions (“Terms”) govern the hire of sound, lighting, staging, and associated equipment (“Equipment”) and the provision of related services by Yolk Productions Ltd (“we,” “us,” “our”) to the hirer (“you,” “your”). By booking, paying for, or accepting delivery of Equipment, you agree to be bound by these Terms.

  1. Definitions

    1. Equipment – all sound, lighting, staging, AV, power and other items supplied by us or our subcontractors, including accessories, cables, and cases in the supply of services

    2. Hire Period – the time from delivery/collection of Equipment until its return to us

    3. Hire Quotation - a proposal which lists equipment and services but does not constitute an agreement between the us and the hirer.

    4. Hire Confirmation - the document which lists the items and services. Once signed, we have agreed to supply the Hirer.

    5. Hire Fee – the total rental charge, as agreed in writing.

    6. Deposit – any security deposit payable in advance.

    7. Event Date - period that equipment and services specified in Hire Confirmation are to be used

    8. Event Hours - hours during which the services are provided on the event date

    9. Services - equipment and technical support, set out in Hire Confirmation

    10. Site - location at which services will be provided by The Company, detailed in the Hire Confirmation

    11. Technical Support - staff required to perform specified tasks such as Sound Engineering or Electricians


  1. Bookings & Payment

    1. The process for entering into a Hiring Agreement with us is as follows:

      1. We will provide a Hire Quotation, based on the conversations we’ve had about your requirements

      2. This might form the basis of ongoing conversations and updates but does not constitute a commitment by Yolk Productions Ltd or the Hirer

      3. If you would like to book, please confirm you would like to do so and we will send over the Hire Confirmation and Terms and Conditions.

    2. A booking is confirmed only once we have received a signed Hire Confirmation and/or purchase order (if applicable for your company) and/or payment of any required deposit.

    3. Full payment of the Hire Fee is due 14 days prior to the Hire Period, unless otherwise agreed in writing.

    4. We reserve the right to cancel the hire if payment is not received on time.

    5. All prices are exclusive of VAT (if applicable), which will be charged at the prevailing rate.

    6. If you want to make change to Services after confirmation please contact us. We will let you know if this is possible and cost up such changes.

    7. We may change the Services to reflect changes in relevant laws and requirements and / or to implement minor adjustments and improvements. These changes will not affect your use of the Service

    8. You must make payments as outlined in the Hire Confirmation. We can charge interest if payments are late at a rate of +4% higher than the current bank rate.


  1. Delivery, Collection & Installation

    1. Delivery and collection charges are quoted separately unless agreed otherwise.

    2. If Equipment is to be installed by us, you must ensure reasonable access to the venue and sufficient time for setup and dismantling.

    3. If Equipment is collected by you, responsibility for loading, securing, and transporting lies solely with you.

  1. Responsibility & Risk

    1. Risk in the Equipment passes to you upon delivery/collection and remains with you until it is returned to us.

    2. Title (ownership) of the Equipment remains with us at all times.

    3. You must keep the Equipment in good condition, use it only for its intended purpose, and ensure it is operated by competent persons.

    4. You are responsible for the safety and security of the Equipment throughout the Hire Period, including during transport, storage, and use.

  1. Loss, Damage & Theft

    1. You are liable for any loss of, or damage to, the Equipment during the Hire Period (other than fair wear and tear).

    2. If Equipment is lost, stolen, or damaged beyond repair, you must pay the full replacement value at current market rates.

    3. Repairs and cleaning required due to misuse, negligence, or failure to follow instructions will be charged to you.

    4. You must notify us immediately of any Equipment failure, damage, or theft.

  1. Insurance

    1. We strongly recommend that you obtain suitable insurance cover for the Equipment during the Hire Period, including loss, theft, and damage.

    2. Evidence of insurance must be provided on request.

    3. If you do not arrange insurance, you remain fully liable for any loss or damage.

  1. Use of Equipment

    1. Equipment must not be altered, modified, or moved without our prior written consent.

    2. Equipment must not be sub-hired, lent, or transferred to third parties.

    3. You must comply with all relevant health and safety laws, venue regulations, and licensing requirements.

    4. Generators, power supplies, and venue electrics must be suitable and safe for use with our Equipment.

  1. Cancellation

    1. Cancellations must be made in writing.

    2. If you need to cancel all or part of your contract, the following charges will apply. These charges depend on the amount of notice given before the hire period begins, or if cancellation is required due to adverse weather conditions. Our cancellation fees reflect a combination of:

    3. Administrative costs already incurred

    4. Fees charged to us by subcontractors for equipment or labour, and

    5. Loss of income, based on the likelihood of rebooking the date.

    6. More than 120 days before Hire Period: 25% of Hire Fee payable

    7. 119-45 days before Hire Period: 50% of Hire Fee payable

    8. 44 - 15 days before Hire Period: 75% of Hire Fee payable

    9. 14 days or fewer before Hire Period: 100% of Hire Fee payable

    10. We reserve the right to cancel the hire due to circumstances beyond our control (force majeure). In such cases, liability is limited to refund of amounts paid.

  1. Liability

    1. We will not be liable for any indirect, consequential, or economic loss arising from use of the Equipment or services.

    2. Our total liability is limited to the amount of the Hire Fee paid.

    3. Nothing in these Terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

  1. Force Majeure

    1. We are not liable for failure to deliver Equipment or perform services where such failure results from events beyond our reasonable control, including strikes, accidents, fire, extreme weather, power failure, transport disruption, or government restrictions.

  1. Termination

    1. We may terminate the hire immediately if you breach these Terms, fail to make payment, or become insolvent. In such cases, you must return the Equipment immediately, and we may enter your premises to recover it.

  1. Governing Law

    1. These Terms are governed by and construed in accordance with the laws of [England & Wales / your jurisdiction]. Any disputes will be subject to the exclusive jurisdiction of the courts of [your jurisdiction].

  1. Entire Agreement

    1. These Terms, together with any written quotation or hire agreement, constitute the entire agreement between us and supersede all prior discussions, agreements, or understandings.
